Log a QuickBooks Desktop Renew-or-Migrate Decision Before the October 1, 2026 Pricing Update

Log the renewal facts before the invoice, so the team can choose to renew or migrate with a dated record.

A QuickBooks Desktop renewal can arrive by email and leave by card before the team decides whether to renew or migrate. Intuit stopped selling new QuickBooks Desktop Plus subscriptions in 2024.

Make the renewal a dated decision

Intuit will adjust prices for multiple QuickBooks Desktop offerings starting Oct. 1, 2026. A dated record gives the team an owner, a check date, and a reason it can defend in a meeting. The invoice is the visible part. The migration decision is the part that needs a written trigger.

Build the one-page log before the invoice

Keep the log short enough to finish in a meeting. It turns a software question into a record the team can check.

Use these fields. Each item is testable in a minute.

  • Current seats: count the named users who can open the file today.
  • Annual cost: add the base subscription and every add-on you pay.
  • Renewal date: write the date the next invoice will hit.
  • New renewal price: enter the post-change price for the same package and seats.
  • Migration trigger: name the condition that makes you move.
  • Re-check date: set the date you will revisit the decision.
  • Price delta if renewing: subtract old annual cost from new annual cost.

Current seats and annual cost force the real bill into view, not just the base subscription. Extra users, payroll, and accountant access can change the math.

Cost per seat is the fastest way to make the renewal feel real. Divide the annual cost by the current seats, then compare that number to the new renewal price for the same seats. Growth can make the old per-seat number hide the true increase.

Renewal date and new renewal price keep the decision tied to the invoice. A rounding-error increase supports renewing. A material jump should appear in the record.

Migration trigger and re-check date prevent the decision from drifting. You are not promising to move today. The entry names the condition that will make the move unavoidable.

A good trigger is concrete. It can be a seat count, a payroll need, an accountant access need, a data cleanup project, or a user who will not use the replacement. Avoid triggers that depend on mood. A future version of the team can use the record to say the condition was met without reopening the whole software question.

The re-check date should come before the renewal date, not after. A missed re-check lets the invoice make the call. A short note is enough: renew, migrate, or hold with a reason.

Small business accounting software is rarely a single decision. It touches payroll, accountant access, and the way the team closes the books. A dated record keeps the renewal from becoming a silent upgrade in a system nobody owns.

Assign the log to a person, not a team. The owner updates the fields, brings the delta to the next meeting, and records the decision. When the owner changes, the role carries the record forward.

Enter the prices into the log

QuickBooks Pro Plus moves from $1,149 to $1,351 per year for a single user.

QuickBooks Premier Plus rises from $1,609 to $1,891 per year, and extra seats rise from $345 to $406.

QuickBooks Desktop Accountant goes from $1,799 to $2,249 per year.

QuickBooks Desktop Basic Payroll changes from $640 to $690 per year and Enhanced Payroll changes from $805 to $870 per year, while the $7 per-employee monthly fee stays the same.

Legacy Enhanced Payroll renewals receive higher annual prices beginning December 1, 2026.

Put those numbers beside your current seats and annual cost. The delta belongs in the meeting. It is not the whole case, but it is the part the team can verify in a minute. A small delta supports a renew decision. A large delta forces a migration conversation.

If the team is comparing the desktop package with a replacement, the comparison should include the migration trigger, not just the sticker price. A move is a project: data cleanup, user training, payroll timing, and a cutoff date.

Set the re-check date before the invoice arrives. When the trigger has not fired, renew for the next term and record the reason. When it has, start the migration early enough to avoid a payroll deadline.

Put the log in the same folder as the renewal invoice, and keep it current before the next payment.
